When the Projects menu item is selected, the Projects tab will be the first to appear. This tab allows the user to view all the projects in a certain STIP or those within certain criteria (filters).
Filters
The first thing displayed on this interface is a Projects Table. This table can be filtered using the STIP and Search By fields.
| Field | Description |
| STIP | This picklist allows the user to select a STIP window to view and edit its projects. |
| Search By |
This picklist contains the available options that a user can search by. There are three options: Municipality, Program, and STIP ID. Once an option is selected here, a second field will appear to specify the "Search By" selection:
Once the second field is filled, the Projects Table will be populated with the corresponding results. |
Alternatively, the user can utilize the Advanced Search fields by selecting its link. This link leads to a pop-up with eight fields-- STIP, Municipality, Program, STIP ID, Name, Funding Agency, Description, and Funding. The user can fill one or multiple of these fields before selecting "Search Projects" to close the pop-up and generate the results on the table.
| Field | Description |
| STIP | The STIP selection will be chosen on the Projects interface, passed to the Advanced Search pop-up, and disabled. |
| Municipality | This picklist can be used to select a municipality or select statewide. |
| Program | This picklist can be used to select from the programs as defined on the Program Targets interface. |
| STIP ID | This textbox can be used to enter the STIP ID in whole or in part. |
| Name | This textbox can be used to enter the Project Name in whole or in part. |
|
Funding Agency |
This picklist can be used to select from the Agency values associated with the Funding Categories. |
| Description | This textbox can be used to enter the Project Description in whole or in part. |
| Funding | This picklist can be used to select from the Funding Categories as defined on the Fiscal Constraint interface. This picklist will have sub-headers for each Funding Agency in order for the user to easily distinguish between funding selections. If the Funding Agency picklist is populated, this list will be filtered to only include the associated Funding. |
As the user navigates through the system, the STIP and Search By options will be set to the last selection made by the user. Resulting projects displayed in the table will be sorted by Program then by STIP ID.
Project Table
On the Projects Table, the user can see high-level information about the project, including the Program, STIP ID, Name, Municipality, and the sum of all funding in each year of the STIP window. The Total column will display the sum of all funding records for the STIP project, including any amounts that are programmed outside of the current STIP window. At the bottom of the table will be a Total row that will include the sum of all values for each STIP Year and Total columns for the projects displayed.
Understanding Values
All values greater than $0 in this table and throughout the application are displayed and stored in millions to the 4th decimal place. Any value equal to $0 will be shown as a blank field. Any value less than $0 (i.e.: Total Net Changes) will be indicated by parentheses and shown in a red font.
Actions
From the Projects tab, the user can perform four actions:
- Remove a Project from the STIP
- Print the Projects Displayed
- Add a New Project
- View/Modify Project Details
(1) Remove a Project from the STIP
Privileged users will have the ability to delete projects if the project has no associated funding; the "Delete" checkbox will be disabled for any project that has associated funding. To remove a project from the STIP, the user can select one or multiple checkboxes on the table. Once the desired projects have been selected for deletion, the user can select the "Delete Selected" link at the bottom left of the interface. A confirmation box will appear, warning the user that one or more projects will be deleted from the STIP. Once confirmed, the projects will be removed. While this is technically called "deleting" a project, the project will actually be marked as obsolete in the database, not deleted.
(2) Print the Projects Displayed
Any user may print the currently displayed information on the Projects tab by selecting the Print link in the lower right corner of the interface. This will open a print dialog so the user can specify the printing details.
(3) Add a New Project
To add a new project, the user can first select the "Add New Project" button in the top right of the Projects tab. This tool will allow the user to create a new project directly in the STIP Manager application. When selected, the user will be moved to a blank Detail tab that allows the user to enter general information about the project and create new funding records in the Funding table. The table below outlines the editable fields. The asterisk symbol (*) indicates a required field; these asterisks will also appear on the interface beside each required field.
| Field | Description |
| Name* | This textbox can be used to enter the Project Name; required. |
| Description* | This textbox can be used to enter the Project Description; required. |
| STIP ID | This value is the unique identifier for the project. For projects created in STIP Manager, this ID will be automatically generated using the format S##### beginning with S00001. This field will be view only for all projects. |
| PTS ID | This textbox can be used to enter the PTS ID. |
| Municipality* |
This picklist contains the values in the Municipality code list, including "Statewide"; required. For projects originating in Project Bundler, this field will be calculated based on the assets in the Asset table. If all assets are within a single Municipality, this field will display that Municipality; otherwise, this field will display Multiple. |
| Project Manager | This picklist contains all Project Manager names. An "Add New…" option will also exist to fill this field. |
| Investment Type* | This picklist contains the values in the Investment Type code list; required. |
| Responsible Agency | This picklist contains the values in the Agency code list (ex. RIDOT & RIPTA); required. |
| Engineering Rank | This numeric field contains the Engineering Rank for the project. |
| Municipal Rank | This numeric field contains the Municipal Rank for the project. |
The Funding lines will also be editable on this blank Detail tab, allowing the user to enter funding rows through the available picklists. The Target picklist will be blank when the interface is initially opened but will automatically be filled once the first funding record has been saved. This picklist will include a list of all distinct programs and funding categories assigned within the Funding table for the user to choose from. The Summary table at the bottom of the Funding table will be dynamically populated based on the selection made. This will allow the user to see the variances between budgeted and programmed values for both funding records and program targets.
Once the user selects the Save Changes button, a STIP ID will be generated, and the user will receive a confirmation message for the project's creation.
(4) View/Modify Details
To modify a project, the user can select the STIP ID in the table for the project they wish to edit or view. The STIP ID will be a link which leads to the Detail tab for the selected project.
